How to Prepare for a Payment-Flow Review

A practical checklist for mapping payers, recipients, transaction triggers, volume, timing, data, approvals, exceptions, and reconciliation.

Map one real payment from beginning to end

Choose a common transaction and describe what happens before, during, and after the payment. A concrete example is more useful than a general request for “better payments.”

1. Identify the parties

2. Define the trigger

Is the payment triggered by an invoice, order, contract, milestone, subscription, rent cycle, refund, claim, marketplace event, or manual approval?

3. Estimate the transaction profile

4. Document permissions and controls

Explain how the payer authorizes a collection or how the business approves a payout. Identify who can create, edit, approve, release, cancel, or change a payment.

5. List the required data

Note the invoice number, order ID, property, customer, account, recipient, memo, or remittance information required for finance and customer support.

6. Plan for exceptions

Define what happens when a payment is late, duplicated, incorrect, declined, returned, expired, disputed, or sent to the wrong instructions.

7. Explain reconciliation

State how the payment record reaches the accounting system, operational platform, CRM, property system, marketplace ledger, or other source of truth.
Bring this checklist to the conversation
A payment-flow review is most valuable when the business can explain the actual workflow and the desired operational outcome.
